How to share people with lists or filters

Please note: the ability to share people with lists and filters will be deprecated. Instead of using this feature, we strongly recommend using tag sharing.

You can share people in your nation with another nation. This is particularly useful for national or international organizations and their local affiliates. Before sharing information, you may want to make sure your privacy policy is clear about your use of personal information. 

If you would like to continuously sync information between nations, share a tag. If information in one nation is more accurate than information in the receiving nation, share a list or filter.


To share people from a list

You must have admin permission level to shared people from a filter.

  1. Create a custom list that you would like to share with another nation.
  2. Navigate to the 'Settings' tab. When viewing all lists, you can access the Settings tab by clicking the pencil "edit" icon next to the list's name. Then, look at the top of the list and click on 'Settings.'
  3. In the field labeled 'Share with other nations,' enter the slug of the nation with which you would like to share. If you'd like to share the list with additional nations, use a comma to separate nation slugs.

  4. Click save.

To share people from a filter

You must have admin permission level to shared people from a list.

  1. Create a filter.
  2. Go to the Settings tab of the filter. When viewing all filters, you can access the Settings tab by clicking the pencil "edit" icon next to the list's name. Then, look at the top of the filter and click on 'Settings.'
  3. In the field labeled 'Share with other nations,' enter the slug of the nation with which you would like to share. If you'd like to share the list with additional nations, use a comma to separate nation slugs.

What information is shared

When you share a list or filter with another nation, we include the basic information about each person, including:

Activities and tags are not shared from one nation to another - only the fields listed above are shared. Custom fields are never included in a shared list or filter. A parent nation can sync custom fields with a subnation using tag sharing.

A shared list or filter provides a one-directional sync of these fields. Information is sent from the sharing nation to the importing nation. When a recurring import is chosen, these fields are updated with content from the sending nation once every 24 hours. If you're looking to do a bi-directional sync of contact information, tag sharing is definitely the best option.


Import people from a shared list or filter

When a nation shares people with your nation via a list or filter, an admin of your nation can import those people.

1. Go to the People section. From the More drop-down menu, select Import.

2. Choose to import people once or on a recurring basis.

  • If you import shared people using the one time import, the people currently on that list or matching the filter criteria will be imported.
  • If you import shared people using the recurring import, the import will be run on a daily basis. If new people are added to the list or match the filter criteria, they will be added to your nation. 
  • The areas described below are the same for one time and recurring imports.

3. In the Import from drop-down menu, choose the list or filter from which you want to import people.

4. (Optional) Indicate tags to add to each person. These optional tags can already exist in your database or they can be new. optional tags to add to import screenshot

5. (Optional) Add everyone to a list. A new list cannot be created from the import tool; it must already exist. You can select an existing list from the drop-down menu.  add imported people to a list screenshot

6. Define the support level of the people being added. You must select either supporters / non-supporters or prospects. Unless people have explicitly indicated they want to be part of your nation, select prospect. support level for imported people screenshot

7. (Optional) From the drop-down menu, select a point person for people added from this import. point person for imported people screenshot

8. (Optional) Check the box to add new sign-ups to a path. If you check this box, additional options will appear.

9. Click the import shared list button to begin the import.

10. Timing of imports:

  • A one-time import will be queued and run soon after you click the "import shared list" button.
  • A recurring import will also be queued and run soon after you click the "import shared list" button. It will then run once a day until you remove the import.
