Lists or tags - what is the best way to have different leaders send to different lists?

Hi, my nonprofit project has multiple overlapping campaigns. We want to have leaders who will send to their own campaign but not others.

Which feature is best for this, tags or lists? If needed, we are ok at this point to trust admins to have access to the database and instruct them to send to their campaign only. But it would be easier for those leaders if they could only choose what they had access to.

The "subnation" feature sounds awesome but is beyond the budget and needs of this startup nonprofit right now.

Your best bet now would be to create a permission set that can only see people 'assigned to them'

That way you can create lists or filters for your leaders that only they can see.

Rats! That would be ideal for our needs and would be a lovely addition to the permissions model.

I think we can start with a model based on trust and auditing. Email blasts and exports are logged, so if someone does something wrong we will know.

Correct, you cannot assign a tag to a leader like you can a list.

That will work. The disadvantage is that lists are not dynamic – I usually use them just for emails to segments of my database in time or based on activity (i.e., email a list of everyone who clicked on my last email). Filters and tags work better for general criteria such as affiliation that are growing over time.

I just tested – you can assign a tag at the time when you upload a list, and it properly dedupes, so that makes tags handy. But, it doesn’t look like there’s any way to formally assign a tag to a leader, is that correct?

Adina, we have a beta “security” model under People > Permissions in your control panel that can be used to give folks access only to the people assigned directly to them. It can be a bit complicated organizationally though.

Filters and tags are generally how you’d carve out a recurring email list, especially if you do want some flexibility in folks’ access. Filters are an advanced search that’s saved and dynamic. Tags are also dynamic when you email, but they are only auto-appended through things like people signing up on certain pages or volunteering for certain activities.
